Reducing the file size of WPS documents can improve performance, make sharing easier, and save storage space.

Large files often result from embedded images, excessive formatting, or unused elements that bloat the document.

To begin, it is important to compress images within your document.

WPS Office provides a built-in image compression tool.

Highlight an image, switch to the Picture Tools ribbon, and select Compress Pictures.

Opt for the option to apply compression to all pictures and select a lower resolution such as Web or Email quality, which is sufficient for most purposes.

Only use high-res images when there is no alternative.

Next, clean up hidden or obsolete content.

Check for hidden objects, empty paragraphs, or redundant page breaks that may not be visible at first glance.

Remove unapplied styles and outdated templates cluttering your document.

These can accumulate over time and contribute to increased file size.

Content pasted from sites or PDFs frequently carries embedded formatting code you didn’t intend.

Use the “Keep Text Only” paste option to remove all unwanted formatting.

Embedded fonts are another major contributor to large files.

If your document uses custom or non-standard fonts, WPS may embed the entire font file to ensure consistent display across different systems.

Navigate to File > Options > Save to adjust font settings.

Deselect “Embed Fonts in the File”.

Only activate embedding if recipients lack the required fonts.

Swap direct chart embeddings for linked image files.

Instead of embedding Excel charts or complex graphics directly, save them as compressed image files and insert them as external links.

This reduces the amount of data stored within the document itself.

Remove redundant copies of images and retain just the latest iteration.

Embedding media like audio or video can massively inflate your file.

Whenever possible, host the media files online and insert hyperlinks instead of embedding them.

It keeps the document lightweight while preserving media access.

For lengthy documents with footnotes or endnotes, review them for redundancy or duplication.

Delete obsolete or outdated annotations.

Last step: use the optimal file format.

Although.docx is smaller than.doc, ensure you’re using WPS’s latest compatible format.

After making all the above adjustments, save the file again.

A fresh “Save As” can purge leftover metadata and bloat that persists after editing.

Periodically review files to keep sizes minimal and workflows seamless.

Particularly crucial for team environments and cloud uploads
